1. Who Can Request Deletion
Deletion requests may be submitted by an authorized organization administrator, workspace owner, account user, or a person whose data is held in Tikiti Core records. We may ask for additional information to verify that the requester is authorized to make the request.
2. Data Covered by Deletion Requests
A deletion request may cover one or more of the following data categories:
- Account and user data, including user profile details, login records, roles, and workspace membership.
- Workspace and organization data, including project records, groups, contacts, templates, settings, and operational records.
- WhatsApp event and message metadata, including message status, delivery events, phone identifiers, timestamps, channel information, and error or retry metadata stored by Tikiti Core.
- Survey, campaign, session, response, and data table records created during operational outreach or fieldwork.
3. Audit, Security, and Backup Limitations
Some records cannot always be deleted immediately. Audit logs, security logs, operational integrity records, and abuse-prevention records may be retained for a limited period where needed to protect the service, investigate incidents, comply with legal obligations, or preserve system integrity.
Backups may also retain deleted information until the relevant backup expires or is overwritten under the backup retention schedule. DataVision International LTD will not restore deleted information from backups for normal production use unless required for disaster recovery, legal compliance, or security investigation.
4. What to Include in a Request
Send deletion requests to info@datavision.co.tz. Please include:
- Your full name and organization name.
- Your email address and phone number for follow-up.
- The Tikiti Core workspace, project, survey, or campaign name if known.
- The data category you want deleted, such as account, workspace, WhatsApp metadata, survey responses, campaign sessions, or all applicable data.
- Any relevant identifiers, such as username, respondent phone number, campaign name, or date range.
- A short explanation confirming whether you are requesting deletion for yourself, for an organization, or for a respondent/data subject.
5. Review and Processing
After receiving a deletion request, DataVision International LTD will review the request, verify authority where needed, identify the relevant records, and confirm the expected deletion scope. We may contact you for clarification before making changes.
When the review is complete, eligible production records will be deleted or anonymized where practical. We will then confirm completion or explain any retention limitation that applies to audit logs, security logs, legal records, operational integrity records, or backups.
